How we collect information
We collect information directly from you when you contact us, request services, provide information or interact with our website.
We may also receive information from someone acting on your behalf, a person referring you to us, publicly available business sources, or systems you authorise us to access.
If we collect personal information about you from another source, we will take reasonable steps to make you aware of the collection and relevant privacy information where required by law, unless an applicable exception applies.
Why we collect and use information
We use personal information to:
- Respond to enquiries and communicate with you.
- Understand your requirements and prepare proposals.
- Deliver agreed audits, consulting, training and related services.
- Review marketing performance and prepare recommendations.
- Manage client relationships, billing and business records.

Providing information is your choice
You can choose not to provide personal information. However, we may be unable to respond to an enquiry, prepare a proposal or provide a requested service without the information reasonably needed for that purpose.
If particular information is required by law, we will explain that requirement when relevant.
Cookies, analytics and advertising
Our website uses cookies and similar technologies to support website functionality, understand how visitors use the website, measure advertising performance and show relevant advertisements.
We use:
- Google Analytics 4 to understand website traffic and visitor interactions.
- Google Ads to measure advertising conversions and show remarketing advertisements.
- Meta Pixel to measure advertising performance and show remarketing advertisements on Meta’s services.
- LinkedIn Insight Tag to measure advertising performance and support remarketing on LinkedIn.
These services may collect information such as your IP address, browser and device details, pages visited, interactions with our website and cookie or advertising identifiers. Providers may connect this information with other information they hold, depending on their services and your privacy settings.
Further information is available in the privacy policies of Google, Meta and LinkedIn.
You can block or delete cookies through your browser settings and manage advertising preferences through the relevant provider’s settings. Blocking cookies may affect some website features. Turning off personalised advertising does not necessarily stop all information collection or prevent advertisements from appearing.
Free tools and calculators
Our website provides free tools and calculators to help you review and plan your marketing activity.
We do not retain the information you enter into these tools or the results they generate.
The pages hosting these tools remain subject to the website analytics and advertising technologies described above. Information about your visit or interaction with a tool may therefore be collected separately from the information you enter.
Please avoid entering passwords, customer contact details or other unnecessary personal or sensitive information into these tools.
Client account and customer information
When delivering services, we may be given access to information held in your advertising accounts, analytics tools, CRM or other business systems.
We use that access for the agreed services and associated lawful purposes. Please provide access through the platform’s user permissions where possible, rather than sharing login credentials.
If you supply personal information about other people, you must have a lawful basis for sharing it and provide any required privacy notices. This does not remove our own responsibilities under privacy law.
Where we handle personal information solely on a client’s behalf, our handling is also subject to the agreed engagement and the client’s lawful instructions. Requests relating to that information may need to be referred to the client.
Who we share information with
Where reasonably necessary for the purposes described in this policy, we may share information with:
- Providers supporting our website hosting, email, file storage, business administration and service delivery.
- Analytics and advertising providers identified above.
- Contractors or specialists involved in delivering agreed services.
- Professional advisers, such as accountants, lawyers and insurers.
- Authorities or other parties where disclosure is required or permitted by law.
We limit access and sharing to what is reasonably necessary. Where providers process personal information on our behalf, we take reasonable steps to ensure appropriate handling and protection arrangements are in place.
We do not sell personal information or use client customer lists to advertise our own services.
Information stored or processed overseas
Some service providers may store or process information outside New Zealand.
Where a provider handles information only on our behalf, we take reasonable steps to ensure appropriate protection and handling arrangements are in place.
Where an overseas transfer constitutes a disclosure under the Privacy Act 2020, we will meet the applicable requirements for that disclosure, including ensuring comparable safeguards or relying on another lawful basis.
Marketing communications
We send marketing emails only where we have the consent required by law. Sending us an enquiry does not automatically subscribe you to a newsletter.
You can unsubscribe using the instructions in a marketing email or by contacting info@samfrost.co.nz.
Unsubscribing from marketing does not prevent us from sending communications needed to respond to your enquiry, provide agreed services or administer your account.
Security and retention
We take reasonable steps to protect personal information against loss, misuse, unauthorised access, alteration and disclosure.
No online service or method of transmission is completely secure.
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, including relevant legal, accounting and dispute-resolution requirements. When it is no longer needed, we take reasonable steps to securely delete or anonymise it.
If a privacy breach occurs, we will assess it and notify affected individuals and the Office of the Privacy Commissioner where required by law.
Accessing or correcting your information
You can request access to personal information we hold about you and ask us to correct it by emailing info@samfrost.co.nz.
We may need to verify your identity before responding. We will respond within the timeframes required by the Privacy Act, usually within 20 working days, subject to any lawful extension.
If we decline a request, we will explain why where required. If we do not make a correction you request, you can ask us to attach a statement of the correction sought.
Privacy complaints
Please contact us if you are concerned about how we have handled personal information so we can investigate and respond.
You can also contact the New Zealand Office of the Privacy Commissioner at privacy.org.nz.
Changes to this policy
We may update this policy to reflect changes to our services, practices or legal obligations. The current version will appear on this page with its updated date.
Where required, we will take additional steps to notify you of material changes. Updating this policy does not itself authorise a new use of information previously collected.
